SQlapius release note 12.03.13

The latest SQlapius release brings various new functionalities, including 'SOEP'. SOEP is a method for maintaining a patient's medical file, in which the contact between the medical professional and the patient is split into four categories: 'Subjectief', 'Objectief', 'Evaluatie' and 'Plan'.

Accessing SOEP

SQlapius users are given the choice if they want to enter information via the SOEP method, or the regular single field method. This selection can be made from within the patient history screen, after clicking on the name of the logged in user in the lower left hand corner.

A click of the user name will bring up a window with four options:
  • SOEP
  • Episodes
  • 'Voorgeschiedenis'
  • Small fonts
By clicking SOEP, you will enable this feature as a preferred method of patient information registration.

Using SOEP

If you have SOEP enabled, you can enter the information via the patient history screen. This window can be accessed by highlighting a patient and clicking the 'Historie' button in the bottom icon bar.

The patient history screen will now come up, showing information that has previously been entered by the medical professional that has been treating the patient. Clicking the 'Nieuwe regel' button will now bring up the SOEP window. The SQlapius user can now enter the SOEP information, along with the date of the visit and an ICPC code.

Above the 'Evaluatie' field, the SQlapius user can also enter an 'Episode', a general description of the reason for the patient's visit (e.g. headache, allergies, etc.) Once this entry has been saved, the information will be added to the patient's history and episode list. The episode list is tied to the SOEP and will be visible if the aforementioned 'Episode' option is checked in the user preferences.

The episode list

Within the episode list you will see each episode, the accompanying ICPC code and the date that the corresponding episode was entered into the patient's history. Double clicking the episode name will open the SOEP entry for that episode, while a right-click allows you to edit that particular episode.

Editing an episode

When editing an episode, you can change the name that you gave it previously, the date or the accompanying ICPC code. You can also define the episode as a problem ('probleem'), which will move it to the top of the episode list and give it a red font color. The number field ('nummer') allows you to change the order of the episodes that are not listed as problems.

Mapping an episode

You can also map an entry in the patient's history with a certain episode. Entries that can be mapped, like prescriptions for example, will show a red exclamation mark. Highlighting an episode and right clicking on the red exclamation mark will allow you to "map" these two items. The counter behind the episode name will increase by one number, as one more entry has been mapped to the episode.

Merging episodes

When entering an episode, you are free to enter any name in the episode field. It is possible however that you use different titles to describe the same reason for a patient's visit. For example, you may enter 'allergies' the first time and 'allergic reactions' during the patient's second visit.

The result is that certain entries will be mapped to the 'allergies' episode, while others will be mapped to the 'allergic reactions' episode. Every episode title is also stored in the ERM, meaning that your episode list will have two entries for the same type of episode. By merging these episodes, you remove the name of the episode that you do not want to have listed in the system anymore.

Let's say that you want to use 'allergies' from now on, and therefore want to remove 'allergic reactions' from the episode list. You simply click on the 'allergies' title to highlight it, followed by holding Shift and clicking on the 'allergic reactions' title.

Both episodes will now be highlighted blue, after which you can click on the 'Merge 2 episodes' button below. A window will pop up, asking you if you are sure if you want to merge these two episodes and remove 'allergic reactions' from the list. If you click 'Yes', the episodes will get merged into one single entry that uses one universal name. Every entry that was mapped to 'allergic reactions' before, is now added to the 'allergies' episode.

Resizing the episode list

The episode list can also be resized and pinned to an exact location on your SQlapius dashboard. Just resize the window to the desired dimension, drag it to the location you wish to have it on your dashboard and hold in the Alt button while clicking the exit button. The size and location of the window will be saved. The next time you open the episode list, it will be on the exact location, with the same dimensions as when you saved it.

Quickly toggle between SOEP and single line data entry

It is also possible to quickly toggle between using the SOEP window or the single line data entry field within the patient history window. If you have SOEP enabled but you want to use the 'regular' single field data entry option, just hold in the Control (Ctrl) button and click the 'Nieuwe regel' button. This will bring up the single field entry option instead of SOEP.

This also works the other way around, as you can hold in Control and click the 'Nieuwe regel' button to bring up the SOEP entry in case that SOEP is not activated in your preferences.
